Privacy Policy

How Limping Space Donkeys (DONKS) handles website, Discord bot, RSI verification, and optional Google Calendar sync data.

Who we are

Limping Space Donkeys (DONKS) is a Star Citizen community that operates this website and DonksBot for member onboarding, Discord administration, event planning, reminders, RSVPs, and optional Google Calendar sync.

This policy explains what data we handle, why we handle it, and how members can ask us to review, correct, or delete it.

Website data

The website application form asks for your RSI handle, Discord name, time zone, preferred roles, and any message you choose to send. The site sends applications to DONKS through Discord for recruitment review.

Crew Login uses Discord OAuth to confirm your Discord identity, then asks DonksBot to verify access using your DONKS Discord server roles. DonksBot may store your Discord user ID, username, display name, avatar hash, first login time, last login time, current DONKS rank, and temporary session records. The website stores only a signed session cookie in your browser so protected crew pages can ask DonksBot to revalidate access.

The current site does not include advertising trackers or analytics cookies. Basic web server logs may still be created by hosting infrastructure for security, diagnostics, and abuse prevention.

Discord bot data

DonksBot stores the data needed to run community features in Discord. This can include Discord guild, user, role, channel, message, and thread identifiers; server settings; role mappings; audit entries; event titles, descriptions, times, time zones, images, signup options, RSVPs, reminder preferences, recurrence settings, and related bot state.

We use this data to verify members, operate DONKS roles and channels, post and update event messages, manage attendee access, send reminders, maintain audit history, and keep event features working reliably.

RSI and Star Citizen data

For member verification, DonksBot may process your RSI handle, public RSI profile URL, display name, organization, rank, membership type, proof code, verification status, and sync timestamps. DonksBot may use public RSI profile pages and StarCitizen-API responses to confirm the handle and membership details you provide.

We use this data only for DONKS membership verification, Crew Login access, role assignment, role sync, support, audit, and related server administration.

Google Calendar sync

Google Calendar sync is optional. If you use /google authorize, DonksBot asks Google for authorization so it can create, update, and remove DONKS event entries in a Google Calendar you choose.

DonksBot currently requests these Google OAuth scopes:

  • https://www.googleapis.com/auth/calendar.events so DonksBot can view, create, update, and delete synced event entries.
  • https://www.googleapis.com/auth/calendar.readonly so DonksBot can read calendar information available to your Google account, currently used to list calendar IDs and summaries for calendar selection.

When you authorize Google Calendar sync, DonksBot may store your Google account email, Google subject identifier, encrypted refresh token, calendar IDs and summaries, synced Google event IDs, Google event links, and the DONKS event details needed for sync: title, description, start time, end time, and private DonksBot event and Discord guild identifiers.

DonksBot does not use Google Calendar data for advertising, resale, credit decisions, surveillance, or unrelated profiling. DonksBot does not bulk import your existing calendar events for DONKS review. Data received from Google APIs is used and transferred only to provide the user-facing calendar sync feature and is handled in line with the Google API Services User Data Policy, including the Limited Use requirements.

Storage and security

DonksBot stores operational data in a private SQLite database controlled by DONKS. Google refresh tokens are encrypted before storage. Access to bot data is limited to people and systems that need it for operation, security, support, or legal compliance.

No system can be guaranteed perfectly secure, but we use reasonable operational safeguards and avoid collecting data that is not needed for the bot or website features.

Sharing

DONKS does not sell personal data. Data may be processed by the services needed to run the website and bot, including Discord, Google, hosting providers, and API providers used for RSI or Star Citizen-related features. We may also disclose data if required for security, abuse prevention, or legal compliance.

Deleting or revoking access

To remove a stored Google account from DonksBot, use /google revoke in Discord with the relevant account ID. This deletes DonksBot's stored Google credentials and related sync links for that account. You can also revoke DonksBot access from your Google Account permissions page.

To request review, correction, export, or deletion of other DONKS website or bot data, contact us at privacy@donks.space or through the DONKS Discord. Some records may be retained where needed for security, moderation, audit, backup recovery, or legal reasons.

Changes

If DONKS materially changes how DonksBot uses Google user data or other personal data, we will update this page and, where appropriate, ask affected users to consent again before using data in the new way.
